Good notes make the next session better and protect everyone.
Before the first session
Send the intake form with the confirmation.
Review answers and flag anything to ask in person.
Make sure consent is signed.
After each session
Write what was worked on and how the client responded.
Note the pressure used and any areas avoided.
Record the aftercare shared.
Privacy
Notes are private to the practice. Never share them without the client written consent.
Reminders cut no-shows more than any policy.
Steps
Send a reminder two days and two hours before.
Mark the appointment No-show if the client does not arrive within 15 minutes.
Message the client kindly and offer the next slot.
Late cancel policy
Cancel with 24 hours notice at no charge. Inside 24 hours the session is charged at half price the first time.
Clean rooms and fresh linens are half the service.
Between clients
Strip, bag and replace linens.
Wipe table and surfaces.
Restock oils and lotions.
Reset temperature and music.
Laundry
Wash on hot with unscented detergent, count linens daily and order more when the count falls below two sets per room.
