How to read the numbers
Reply fast, sound human, and make the next step obvious. Most clients book the first studio that answers well.
Within one working day
Reply with availability for their date and two package suggestions.
Create the client row and a shoot at the Inquiry stage.
Offer a short call or a studio visit.
To hold the date
Contract signed and deposit received, then change the shoot to Booked.
Without a deposit, the date is held for seven days only.
After booking
Welcome email with what happens next
Questionnaire sent
Calendar invite with address and arrival time
Checklist items added to the shoot
Two days before
Batteries charged and spares counted
Cards formatted, spare cards packed
Flash, reflectors and backdrops packed per the plan
Weather checked; indoor backup location confirmed
Morning of
Message the client with arrival time and a cheerful reminder of what to wear.
Check the shot list for must-have groups and family notes.
After the shoot
Back up the cards to two places before leaving.
Mark the shoot Shot and add the editing checklist items.
Send a thank-you with the delivery date.
The editing pipeline
Cull to the promised number of selects.
Color and exposure on all selects, retouching on favourites.
Export web-sized images and full-resolution files.
Upload to the client gallery with a short welcome note.
Quality checks
Ask a second person to open the gallery as the client would.
Check names, captions and download links.
Confirm the images delivered count against the package promise.
When you deliver
Press Hand over gallery, record the images delivered, and ask for a short review a week later.
A gallery that arrives early is the best advertising you will ever get.
Keeping packages simple
Three to five packages per kind of shoot; each states hours, people and images.
Add-ons are priced separately so the package stays easy to compare.

Tracking money
Record the quoted fee and deposit received on every shoot. The Balance due column does the rest, and the Dashboard lists anything unpaid.
