Same day
Log the referral and set Assess by.
Call the family, listen first, then explain how an assessment works.
Book the assessment with the clinical supervisor.
After the assessment
Move the person to Clients and agree hours and funding.
Mark the referral Started.
Every Thursday
Open Clients and check Hours per week for each active client.
Schedule shifts for next week using Schedule shift on the client.
Match caregivers to clients they already know where possible.
Check that each caregiver's credentials are Valid.
Changes
When a caregiver calls out, find cover the same day and tell the client.
Mark missed shifts Missed and note why.
Every visit should be verified before billing.
After each shift
Arrival and departure confirmed
Care log complete
Shift marked Completed and Visit verified ticked
Weekly
The scheduler lists completed shifts that are not verified and chases them before payroll.
Monthly
Open Credentials and look at the Next 30 days view.
Message each caregiver with the renewal date.
Mark Renewal requested, then Valid when proof arrives.
Expired
Remove the caregiver from upcoming shifts until the credential is valid again.
