What happens between a first call and a new patient's first chair time.
Before the visit
Take the request from the form or phone and add the person under Patients with status New.
Check insurance eligibility and note the plan on the patient row.
Send registration paperwork at least two days before the visit.
Book a New patient exam under Appointments and confirm it the day before.
At the visit
Verify photo ID and insurance card.
Collect signed privacy acknowledgement.
Agree the recall interval and book it before the person leaves.
After the visit
Move the patient to Active and set Next recall.
Recalls keep the schedule full. Review the Patients table every Monday.
Weekly routine
Open Patients, view Overdue under recall and call each person.
Offer two appointment times and book while on the phone.
Log the outcome in the patient notes.
When nobody answers
Try a text, then email, then a second call a week later.
After three attempts over six weeks, set status to Inactive.
Reactivation
Once a quarter, call Inactive patients whose last visit was under two years ago.
A plan that is clear and priced on the day gets accepted more often.
In the room
Show what is proposed and why in plain words.
Give the insurance estimate and what is left for the patient side by side.
Offer payment options before the patient asks.
After the visit
Record the decision on the plan row.
If undecided, set a call for three days later.
When accepted, book the visits and use Start claim on the plan.
Review
Every month, look at Declined plans and note the most common reason.
Most delays are small errors. Catch them at submission.
Submitting
Create the claim from the treatment plan.
Confirm procedure codes match the visit note.
Set the Follow up by date ten business days out.
Following up
Submitted past the follow-up date means call the payer that day.
Denied means read the reason, fix and resubmit within a week.
Paid means mark paid and update the patient balance.
Month end
Total Submitted and Denied claims and review them with the office manager.
A short checklist done the same way every day.
Opening
Review today's Appointments and confirm the first three patients
Check Supplies marked Reorder
Print the schedule for each operatory
Closing
Mark every visit Completed, No-show or Cancelled
Enter next visits before patients leave
Start claims for any completed insurance visit
Update Supplies counts for anything used heavily
