A clear estimate prevents most arguments. Write it before anything is taken apart.
At the counter
Greet the driver, walk around the car and note existing dents.
Write the concern in their words, not in shop words.
Ask for a phone number and the best way to reach them.
Estimate
Inspect and diagnose before quoting.
Quote parts and labor separately and list what is optional.
Get an approval by text or phone and note the time on the repair order.
Extra work
Never add work that was not approved. Call, explain, and wait for a yes.
Stock the fast movers, order the rest the same day. Parts delays cost more than the part.
Daily
Read tomorrow repair orders and list what you do not stock.
Order before 10:00 for same day delivery.
Receive parts against the repair order and mark them on the sheet.
Returns
Return unused or wrong parts within a week and note the credit. Keep core returns in a labeled bin.
The last ten minutes of a job are the ones the driver remembers.
Before calling the driver
Another technician road tests the car.
Wheel torque, fluid levels and warning lights checked.
Invoice matched to the estimate.
At pickup
Explain what was done and what to watch.
Show any worn parts and mention what is coming due.
Set a reminder for the next service.
