What lives where
The week
Your rhythm
Who does what
The coordinator owns recruiting, screening and the schedule. Program leads own their shifts and their volunteers' training. Shift leads take attendance. The program manager reads the hours report for grants.
Privacy and safety
Phone numbers, emails and emergency contacts are confidential. Keep only the status and the date of a background check here, never the report itself. Share the workspace with staff and leads, not with every volunteer.
Making it yours
Rename areas, skills and training steps to match your program and delete the sample rows once your own are in. Edit any cell in place and drag cards between columns; every total updates by itself.
The program at a glance. Charts read the live tables.

The path
Background checks
Anyone who will be alone with children, handle money on their own, or drive for the alliance needs a cleared check before their first shift. Set Background check to Requested when you send the form and to Cleared when the result comes back, then write the Check expires date (most programs renew every two or three years). The Dashboard lists every check that is requested or expired. Never put the check results themselves in this workspace; keep only the status and the date.
Waivers and emergency contacts
Every volunteer signs the liability waiver before their first shift. Tick Liability waiver signed and fill in the Emergency contact. Volunteers under 18 need a parent or guardian to sign as well.
Fitting the person to the work
Ask about the days they are free and what they are good at, then fill in Available on and Skills. A retired carpenter belongs at the repair evening; a Spanish speaker is gold at the market info table. People stay when the work fits them.
First-shift checklist
Example
Marguerite applies to read with children. The coordinator calls her the next day, books orientation for Thursday, sends the background check form and the safeguarding module, and pencils her into story hour beside Lupe. Two weeks later her check is cleared, every training step is done, and she is active.

Why hours matter
Funders and city grants ask for volunteer hours and their value. Each volunteer's Value of time given multiplies hours by a national value of a volunteer hour; change the rate in the formula to your state's figure. Hours recorded the same day are accurate; hours guessed a month later are not.
Example
Saturday market setup needs six people and has four. On Thursday the coordinator messages three weekend regulars who list lifting as a skill; two say yes. On Saturday the lead marks five attended and one no-show, enters three hours each, and the market report for the city grant fills itself in.
Thank people often and specifically
Watch for drift
The Reliability column reads each person's attended shifts against no-shows. "Check in" means it is time for a friendly call: schedules change, and the fix is often a different day or area. Volunteers on On break get a note every three months with no pressure to return.
Give people more
Long-time volunteers want responsibility. Ask your steadiest people to lead a shift, train newcomers, or run a group volunteer day. Leading is the strongest reason people stay for years.
Group volunteer days
Company teams and school clubs bring many hands at once. Treat the group contact like a donor: confirm the project two weeks out, send the waiver link, have work ready for every person, and send photos and the hours afterward. Many companies match their employees' hours with a grant; ask.
Once a year
Saying goodbye well
When someone retires, thank them in person and mark them Retired rather than deleting them. Their history stays, and many return.
Example
Theo reaches 100 hours at the tool library. The lead mentions it at the Thursday desk, the coordinator sends a card, and Theo is asked to run the next repair evening. He says yes and brings a friend who signs up the same night.
