Who does what

The pastor leads care and welcome. The administrator owns the calendar, rentals and the weekly counts. The care coordinator runs the care list and meal trains. The worship lead fills Sunday roles, and the facilities steward owns rooms and setups.

Privacy

Care notes, phone numbers and giving are confidential. Share this workspace with staff and the care team only. Children's details stay minimal.

Rename gatherings, groups, rooms and volunteer areas to match your congregation and delete the sample rows once your own are in. Edit any cell in place, drag cards between columns, and every count updates on its own.

Renting to neighbors

Weddings, recitals, neighborhood meetings and family celebrations bring in income and new faces.

Pricing

Set one public rate per room and a lower rate for members and nonprofits. Funerals for members are never charged. Write the rate on the room so everyone quotes the same price.

Conflicts

Services and funerals come first, then congregation events, then rentals. When a funeral needs a room that is rented, call the renter the same day and offer another room or date with an apology and a discount.

Example

A couple asks for the fellowship hall for a reception of 95 guests. The administrator checks the calendar, sends the agreement, takes a deposit and records the $600 fee. Ten days before, the steward confirms round tables and a cleared dance floor; the hall's rental income for the quarter updates on its own.

Becoming members

Hold a short newcomers class each season: what the congregation believes, how it is run, how to serve and how to give. Those who join become Member with their joined date.

Children

Families with children need to know their kids are safe. Check-in for children's rooms, two screened adults in every room, and a clear pickup rule. Record only what you need about children here, and never photographs.

Example

The Lindahl-Basu family visits with their toddler. A greeter shows them the nursery, someone sits with them, and they fill in a card. Monday, the administrator adds them as visitors; Tuesday, the pastor emails; two weeks later they join a small group and move to Exploring.

Grief

After a death, plan care for a year, not a week: calls at one month, three months, the first holidays and the anniversary. Add each one as its own request with a date so none is forgotten.

Caring for the carers

Rotate visitors so nobody carries too much. Give the care team a place to talk after hard visits, with confidentiality.

Example

Gus has knee surgery on Thursday. Pilar mentions it after the service. The care coordinator adds a meal request for Friday and a ride for his physical therapy, asks Pilar whether Gus would like to be on the prayer list (he would), and lines up three families for meals. Each request is marked done as it happens.
